Specific Accountabilities
Provide effective management and give advice and guidance to the team where necessary.
Responsible for implementation of existing contracts and effective contract management within agreed service levels.
Ensure that the Carer Pipeline is managed adequately in order to provide the required supply of new Carers into the business to meet all current and future contracts.
Ensure that all Carers are managed in accordance with the minimum standards of Allied Healthcare, e.g. annual appraisals.
Ensure all Carers are paid accurately on time.
Establish and maintain KPI’s for the branch.
Ensure the branch maintains an emergency on call system and has sufficient capacity to cover emergency situations.
Ensure smooth transition of information both in a bottom up method to the Operations Manager and a top down method to the staff in the given branch.
Responsible for developing knowledge of both self and staff, including coaching, training, developing and appraising performance of the teams.
Business Focus
Keep up to date with market and competitor activity.
Responsible for the recruitment and selection of branch staff and care workers for the given branch, working in tandem with their designated Recruitment Executive.
Identify challenges and opportunities to current business and work with Operations Manager to respond to them.
Attend and contribute to quality forum meetings, organised by the local authority for domiciliary care providers.
Familiarise themselves with the local geographical area to be covered by domiciliary care staff to ensure Coordinators provide care staff with effective rota’s with minimal travel requirements.
Develop effective relationships with key people both within and outside the business and represent the business to relevant outside bodies.
Drive sales, margin growth and business development under guidance of the Operations Manager and in accordance with their given targets and objectives
Act as the arbiter and mediator in grievance situations and decide upon disciplinary situations as determined by appropriate Allied Healthcare Group policy and procedure referring to the Operations Manager and Group HR function as necessary.
Handle customer/ client complaints in accordance with the company's complaints procedure.
Customer focus and Retention
Build and maintain relationships with existing and new clients. Liaising with the group-marketing department as appropriate.
Forge and maintain links with the local authority, commissioning and contracts departments. Assist the head office contracts department with tender submissions, providing local information where required.
Personal Organisation
Ensure all Carers are compliant with all internal quality systems and relevant legislation.
Responsible for ensuring that all office systems, processes and all paperwork adhere to all required national minimum standards as dictated by all relevant legislation and the associated governing bodies, e.g. CQC. Management of branch petty-cash budget Prioritise own work and that of the branches, setting SMART objectives where necessary. Monitoring of own and team performance by reviewing objectives.
Analysis and Problem Solving
• Responsible for the reconciliation of the branch-marketing budget.
• Cost control – highlighting and taking action on budgetary problems under guidance of Operations Manager.
• Produce and implement an annual business plan.
• Production of management information as and when required by internal and external customers.
• Production of forecasts of sales and costs against budget on a regular basis.
Personal Qualities
Will either possess or commence working towards (within 6 months of joining Allied Healthcare) the qualifications required by the relevant governing body of England, Scotland or Wales, e.g. NVQ Level IV LNCS award as dictated by CQC. Will immediately commence the registration process for their office (as the assigned manager) with the relevant governing body of England, Scotland or Wales upon joining Allied Healthcare.
Refer to and seeks guidance from their Operations Manager for direction and decisions as and when needed.
